EERR Midsummer 5k Pre-race briefing for reps
Subject: EERR Midsummer 5k Pre-race briefing for reps Message from Jamie Zucker – EERR June 22, 2021 9:08 pm Hi Elvis clubs and club team managers / reps,
Hope you are all well and looking forward to our Midsummer 5k race tomorrow – we are certainly looking forward to welcoming you all to the Olympic Park.
I have just sent the pre-race briefing out – see copy below. There are a couple of things I would like to draw to your attention. We really appreciate your help with in these unusual times: The Olympic Park are pretty hot on social distancing. We would appreciate your cooperation in ensuring your members maintain 1-meter distance from one another at all times please. This is as important in the time before and after the race as during the run itself. Once they have finished, runners must spread out along the course if supporting their fellow team mates. If you are taking a team-photo, please make it as spaced as possible please. You will appreciate that the Olympic Park is pretty busy and the optics are important too. We don’t want to attract negative publicity to the local running community! Due to an increase in petty theft in the area, the Park authorities have insisted that left luggage be watched at all times. Please ensure that one person from your club watches over any left bags / clothing. We will operate a small left baggage facility by the registration desk for runners from non-Elvis clubs/ no run club only. In previous years we have hired toilets and changing facilities in the Velopark for this race. However, the Velopark will be closed tomorrow, so we have hired 6 portable loos in Hopkins field instead (at a considerable cost). I appreciate this isn’t a huge number, but the cost of hiring more was prohibitively expensive so we thank you in advance for your understanding and your help in communicating this information to your club members if long queues form. If you have any questions please don’t hesitate to contact me.
With many thanks. See you tomorrow.
Jamie
Midsummer 5k: Pre-race briefing
East End Road Runners is excited to welcome you to our Midsummer 5k tomorrow. With just 24 hours to go, here is your pre-race briefing. Please read it carefully as no further briefing will be given at the race itself.
Key Information Race Location: Hopkins Field, Queen Elizabeth Olympic Park, E20 3BS. Please note, this location is adjacent to the Here East complex in Waterden Road (around 400m north-west of the Velopark location used in previous years).
Number Collection: Between 6.30 and 7.20pm from the registration desk. Members of ELVIS running clubs to collect via their assigned club reps please.
Race Start: at 7:30pm (runners will be called to starting pens at 7.25pm).
Covid Mitigations Anyone with the symptoms of Covid 19 (a high temperature, a new, continuous cough, and/or a loss or change to sense of smell or taste) must not to attend the race. This applies equally to anyone who for whatever other reason should be self-isolating. If this applies to you, we wish you a speedy recovery.
All participants must strictly adhere to social distancing at all times. This means staying a minimum of 1-meter away from others at all times – before, during and after the race (including during club photos). Please do not be offended if our marshals remind you of these rules – it is a condition of our hire agreement with the operators of the Queen Elizabeth Olympic Park.
If, following your run, you would like to support your fellow club runners, please spread out along the course to do so.
Hand sanitiser will be available at the registration desk and in all toilets, although we encourage you to bring your own too.
Timing and start/finish procedures To facilitate social distancing, all finish positions (and prizes) will be based on chip times (not gun times).
There will be 9 starting pens of around 50 runners each – organised by bib numbers that correspond to your predicted finish time. This will allow for a staggered rolling start. Please use the pen that corresponds to your bib number.
Please ensure you run over the timing mat at the start, middle and end of the race to ensure your time (and split) are recorded accurately.
Please do not spit or share water or equipment with others during the race.
Other Water: For environmental and Covid reasons, you are strongly encouraged to bring your own water (clearly labelled to avoid confusion and cross contamination). A small number of bottles will be available for emergency purposes.
Toilets: Portable loos are being hired. However, if possible runners are encouraged to use facilities before they arrive to avoid long queues.
Transport: Runners are strongly encouraged to arrive by public transport. Stratford International, Stratford, Hackney Wick and Leyton stations are all within a 20-minute walk of the start. Busses 388, 97, 308, and W15 all stop within 10 minutes’ walk too. Some paid parking spaces are available in surrounding streets. There are multi-storey carparks at Here East (E15 2GZ) and at Stratford International Station (E20 1EJ).
We kindly ask for your cooperation to ensure the event runs smoothly and safely. We look forward to seeing you in person tomorrow.
