Subject: Elvis Reps Meeting 2022 – minutes Message from Martin Clarke March 3, 2022 10:20 am Hi all, Apologies for not being able to attend last night’s meeting but huge thanks to Sally for stepping in as a worthy deputy. I attach the minutes for your consideration. There’s as slight query on the EERR race date as to whether its Tuesday 21st June or Wednesday 22nd June. Jamie perhaps you can confrim. The only other problem is ELR’s race date who originally proposed the 18th September when normally their slot is the last Sunday of this month which would fall on the 25th . I can understand there may be valid reasons for wanting to move to earlier in the month but this would seriously impact upon other races in what is always a busy month. The 4th is reserved for the Essex Way, The 11th would normally be the Ingatestone 5 but this year we accomodated a requested date swap with the Essex Pleshey half marathon due to problems with their venue on the 18th. So Pleshey is now on the 11th, which clashes with the Havering half, and Ingatestone is on the 18th. Ingatestone 5 is a race that traditionally draws some great support from Elvis Clubs, notably Ilford, Barking and Havering and I would feel extremely uneasy about introducing yet another clash with an Elvis Club. Unfortunately I can’t consider moving Ingatestone even if I wanted to as its been open and taking entries on Entry Central for some little time and has been widely advertised as well as appearing on the Essex website calendar. We have therefore shown the ELR race date as “to be arranged” . Alex I do feel that moving back to your original slot would cause you less problems than going for the 18th unless you can come up with any other alternatives? Best Regards Martin

Please arrive 6.30pm for a 7pm start. I’m sure most of you know the venue as it is very near to the Orion Clubhouse and Chingford Station is just down the road. AS usual for those hosting races this year please come prepared with your preferred dates. I still haven’t had confirmation from all clubs that they will be present but hopefully they will.

Subject: Chip timing company Message from Alexandra Rutishauser-Perera February 22, 2022 11:15 am Dear All,
Looking forward to seeing you and talk about the ELVIS series (my favourite, don’t tell the Chingford league!) next week! In prep of our meeting, I am sending you a quote from the chip company we worked with last year as I asked him if we could get a discount if at least 4 clubs were using his services (of course, the more, the merrier!). The attached is the quote he came up with. I am conscious that most races have a higher number of entries but this gives a fairly good idea of the price anyway.
He also set up a registration system that we could be using instead of Entry central as it would then allow to have all the information centralised (and allows late entries). We are considering using it this year on our side.
Looking forward to hear from feedback about it during the meeting next week but wanted you to have the info in advance.

First of all very well done to all the clubs who have facilitated an Elvis race and they have all been brilliant, with fantastic participation from all the clubs. No doubt ELR will have a great race on the 26th September and we wish them good luck.
Daggers has the pleasure of organising the 2021 Elvis presentation Evening and welcome all Elvis clubs to the May & Bakers Social Club on Friday 8th October at 7pm. The venue will be open until 11pm and there is plenty of parking and accessible public transport As usual there will be a buffet and some music and a payable bar.
Club Contributions is set at £80 for all clubs except for Eton Manor and Harold Wood RC who pay £40 as they haven’t hosted an event. I would be grateful if you could please send the payment to Lloyds Bank, Dagenham 88 Runners Ac: 00082808 Sort code: 30-97-13
We have approached most of the clubs individually prior to this email for the contributions as well as ELR and Ilford ac for the women and men team shields so we get them in time for engraving. We will be using a local company for the trophies since Rod Baldwin of EERR who usually provides lovely personalised trophies for the winners cannot do them this year.
